What Are The Pros And Cons Of Setting Up A Cloud Based Phone System

Telephone systems have a great role to play in offices. Small companies that aim to grow into bigger concerns need to put a lot of emphasis on the type of communication system they use. More often than not, the primary mode of contact with the customers or clients is the phone system, and it also serves as a connecting device between you, your vendors, associates and employees. The communication system of a company is often the basis of the perception that customers form about the company’s personality and professionalism.

Cloud-based telephone systems are offering advanced telephony features and applications at a fraction of the price of conventional telephone systems. Several advantages offered by the cloud-based telephone system have made it an interesting offering to look at. Let’s find out the pros and cons of setting up a cloud-based telephone system:

THE PROS

1. Pay as per your use:
Traditional telephone systems require an upfront expenditure on EPABX, phone line connections, and local networking within your office. You also need to calculate your monthly costs or budget as every call costs money. Even when you install an IP-PBX, there is the cost of the hardware and other installation and support charges to be taken care of.

In the case of cloud-based telephone systems, users can pay as per their use. They can start with a single connection that gives tremendous features and facilities. Whenever they feel the need to scale up their operations, they can opt for a higher plan by adding more seats. Small businesses can make good use of this advantage as they need not invest a lot at the very outset.

2. No need Internal Hardware/Software Maintenance:
It is not possible for the smaller businesses to keep a full time IT team to keep their telephone system running. With the cloud-based telephone systems, the vendor is responsible for installation, maintenance and support. You do not need to spend additional money to hire specialized staff.

3. Enterprise Level Features:
The use of a cloud-based telephone system will help the small businesses use advanced telephony features that big corporate companies enjoy. Thus the small businesses can stay in competition without having to invest a lot capital into building their communication infrastructure.

THE CONS

1. Voice Quality:
Though the back end connection of the cloud-based phone systems are robust, if the connection at your end is slow, you could face jitter and speed issues in voice quality. For example, if you use a dial-up connection for your Internet, that could affect the voice quality.

2. Poor Connectivity:
Cloud-based telephone systems can be the victims of poor connectivity offered by the public Internet connections. The customers who are using the public Internet system will see their cloud-based telephone system going down when there is some problem with the Internet connection. It is better to opt for the solution that provides direct connectivity to the vendor along with a back up connection to the public Internet.

3. Dependency on vendors:
Cloud-based telephone systems are installed and maintained by single vendors rather than multiple parties. As the managed applications are deployed, the vendors also become a partner, so you will need to identify the solution that suits you the best. If you choose a reliable service provider such as Toshiba, you will have no issues.

Cloud-based phone systems growth
If you are comparing the pros and cons of cloud-based telephone systems then there is nothing that can beat it in terms of cost, management, flexibility and features. Service providers are offering competitive services to stay ahead. Small business owners need to understand everything they can while opting such a service.

It's awesome how you said that small companies can stay in competition with bigger companies without having to spend a lot because that's important. I want to be able to keep my business running smoothly. We need good phones to do that though.

It caught my attention when you explained that cloud-bases systems allow small businesses easier access to advanced features. My brother is currently looking for a small office space so he can expand the business he started at home. I'll send him this article so he knows why a cloud-based phone system would be a good choice when the time comes!
